Common Challenges

Help content waits in the dev backlog for months

Your support team knows exactly what articles customers need. But publishing them requires a Jira ticket, a sprint slot, a design pass, and a code deploy. By the time an article goes live, the product has already changed and the content is outdated before it's even read.

Marketing and product own the CMS — customer care gets what's left

The website CMS is locked behind brand guidelines, editorial calendars, and marketing priorities. Support content gets deprioritised because it doesn't drive acquisition. Meanwhile, customers can't find answers and ticket volume keeps climbing.

Tribal knowledge lives in Slack threads and agent heads

Your best agents know how to handle every edge case — but that knowledge isn't documented anywhere customers or the AI can access it. When that agent leaves or goes on holiday, resolution quality drops overnight.

Outdated articles do more harm than no articles

Nothing erodes trust faster than a help article that tells customers to click a button that was removed two versions ago. Without a team empowered to update content in real time, your help center actively misleads people.

Features

Rich WYSIWYG editor — no code, no design team

Create help articles with formatted text, images, callouts, code blocks, embedded videos, and tables. Your support team writes and publishes content directly — no pull request, no deployment pipeline, no waiting.

Publish once → AI answers instantly

Every article you publish is automatically indexed by the AI. Within seconds, the chatbot and widget help center can surface that content in response to customer questions. No retraining, no embedding scripts, no engineering involvement.

Categories, tags, and visibility tiers

Organise content by category and tag. Set visibility to public (customer-facing), internal (agents-only for macros and reference), or private (admin documentation). One content library powers three audiences.

Semantic search — customers find answers in their own words

Customers type natural questions like "how do I pause my plan?" and get the right article, even when the title says "Subscription Management". AI embeddings match intent, not just keywords.

Content gap detection — see what's missing

AItocha tracks every customer question the AI couldn't confidently answer. A dashboard surfaces the most-asked questions with no matching article, so your team knows exactly what to write next.

Import existing docs in one click

Already have content in Notion, Confluence, Zendesk Guide, or Google Docs? Bulk import with category mapping. Migrate your existing knowledge base in minutes, not weeks.

Frequently Asked Questions

Where does the public help center live?

At a subdomain you configure in Settings → Help Center (e.g., help.yourcompany.com). It is branded with your logo and colors, fully hosted by AItocha, and automatically indexed by search engines.

How do customers find articles?

The help center has a search bar using the same semantic search as the AI — customers type natural questions and get the right article, not just keyword matches. Articles are also browsable by category.

Can I embed the help center in the chat widget?

Yes. The AItocha chat widget includes a Help tab that surfaces articles from your KB. Customers search and read without leaving the chat window — reducing ticket volume without requiring an agent.

How quickly does a new article become searchable?

Within seconds of publishing. There is no manual reindex step, no rebuild, and no engineering involvement — the AI can reference the article and the help center search returns it immediately.

Can I control which articles customers see vs. agents only?

Yes. Public articles appear in the customer-facing help center and widget. Internal articles are visible only to agents in the inbox sidebar. Private articles are admin-only.

Can multiple team members edit articles?

Multiple users can edit different articles simultaneously. Version history tracks every change with author and timestamp. Real-time co-editing of the same article is not currently supported but is on the roadmap.
