Common Challenges

Every missed call is a job that goes elsewhere

Most callers who reach voicemail don't leave a message. They call the next business on the list, and you never find out they called.

Answering services cost more than they save

Live receptionist services commonly run $250 to $800+ a month once you're past a minimum call volume. That's real money for a shop taking a few dozen calls a week.

You can't pick up while you're on a job

Customers call during a job, after hours, and on weekends. Stopping work to answer every call costs you; letting them go to voicemail costs you more.

Not every call needs you

Most calls are hours, prices, availability and "can someone come out?" Your receptionist should handle those and only interrupt you for the calls that need you.

What Your AI Receptionist Handles

Answers every call, every time

Nights, weekends, holidays, and while you're on a job. Callers get a real conversation about your business, not a voicemail beep.

Knows your business

Your hours, service area, prices and policies, in your words. It answers from what you've told it and never makes up a price it doesn't have.

Takes bookings and messages

Collects the name, address, callback number and what's going on, then files it as a request in your inbox so nothing gets lost. Starter and up can book straight onto your calendar.

Texts and emails the details

Callers can ask for your prices, a booking summary or a link by text or email during the call. The same number also handles incoming texts, in the same inbox.

You decide when it rings you

Ring me during business hours, always try to reach me, or never interrupt me and just take a message. Change it any time, plus a personal "do not disturb" when you step away.

Knows who's calling

Caller ID on every call: the name the number is registered to, mobile or landline, carrier and location, saved on the customer's record next to their call history.

A summary of every call

Every call becomes a conversation in your inbox with the full transcript and a short AI summary, so you can catch up in seconds instead of listening to recordings.

Follow-ups that win repeat business

Optional post-call satisfaction surveys, and review-request texts after good calls on Growth and Pro, so happy customers end up on your Google reviews.

Safe by default

Card numbers and other personal details are scrubbed from saved transcripts, robocalls are flagged instead of cluttering your inbox, and it never pretends to be a person.

You decide when it rings you.

Three rules, one setting. Ring me during business hours and take messages the rest of the time. Always try to reach me. Or never interrupt me: handle it, and I'll read the summary later. Stepping out for an hour? Flip your own do-not-disturb and calls route around you.

  • Change it any time from your phone
  • Applies to the very next call
  • Callers never hear the difference

Up and running in an afternoon.

  1. Get a number

Pick a new local number in a minute, or forward the business line your customers already know.

  2. Tell it about your business

Hours, service area, prices, policies. Type it in plain English. That's what it answers from.

  3. Pick when it rings you

Business hours, always, or never. Then get back to work. It's answering.

What a call actually sounds like

A real call to our Keystone Plumbing demo line, lightly trimmed. The caller is outside the service area, so the receptionist books a callback instead of promising a visit.

  1. AI receptionist: Thanks for calling Keystone Plumbing, this is Sam. How can I help you today?
  2. Caller: How much to replace a water heater?
  3. AI receptionist: A forty or fifty gallon tank replacement starts at one thousand six hundred fifty dollars installed. Tankless units are quoted on site.
  4. Caller: Can I book someone for Thursday morning?
  5. AI receptionist: Sure. I'll need your name and the service address. I can use the number you're calling from, ending in 4 2 1 7. Is that right?
  6. Caller: Yes. It's 220 Orange Street, Lancaster.
  7. AI receptionist: Got it. Lancaster is just outside our usual area, so I've put in your request and someone will call you back to confirm. Want me to text you a summary?

What landed in the inbox

  • A booking request with the name, address, callback number and preferred time
  • A note that the address is outside the service area
  • The full transcript and a two-sentence AI summary
  • Caller ID: the registered name, mobile line and location
  • A text to the caller confirming what happens next

Frequently Asked Questions

How much does it cost?

Plans start at $29 a month (Solo: 100 AI-answered minutes and 100 texts), with Starter at $59, Growth at $99 and Pro at $179. Each plan includes one phone number. If you go over, extra minutes bill at your plan's posted rate rather than cutting a call off. See the Phone Desk pricing page for the full comparison.

Can I hear it before I sign up?

Yes: call (415) 548-9989. It answers as Keystone Plumbing, a sample business, using the same Phone Desk you'd get. Ask about prices, book a visit or ask it to text you something.

What happens to calls it can't handle?

If it can't answer something, or you've told it not to ring you, it tells the caller someone will follow up and files a message in your inbox with the transcript and a summary. It never leaves a caller at a dead end.

Can it ring me sometimes but not others?

Yes. Choose business hours only, always, or never (just take a message), and use your personal "Available for voice transfers" toggle to step away without changing anything for the business.

Will callers know they are talking to AI?

Yes. It's friendly and natural, but it doesn't pretend to be a person. Callers who want a human can ask for one, and it either connects them according to your rules or takes a message.

Can I keep my existing number?

You can get a new local number in minutes, or forward your existing business line to it so callers keep dialing the number they already know.

Is there a contract?

No. Plans are month to month, and you can change plans as your call volume changes.

What if my business grows?

Phone Desk runs on the same AI voice engine as AItocha's full CX platform. Adding a team inbox, website chat or email later is a plan change on the same account, and your call history and customer records come with you.
